Outlook Zoomed In? How to Zoom Out and Reset Text Size
Outlook zoomed in and text looks huge? Learn how to zoom out in classic Outlook, new Outlook, Outlook on the web and Mac, and how to make the fix stick.
If Outlook is zoomed in, point your mouse at the message, hold Ctrl and press minus (-), or hold Ctrl and scroll the mouse wheel backwards. In new Outlook you can also select Zoom on the ribbon and choose Reset to go back to 100%, and in classic Outlook you can drag the zoom slider in the bottom-right corner back to 100%.
That fixes most cases. If it doesn’t, the problem is probably not Outlook’s zoom at all but the message list font or Windows display scaling. The sections below walk through each version and each cause.
First, figure out what is actually zoomed
Outlook has several separate “size” settings, and they don’t affect each other. Microsoft’s general Office zoom article notes that in Outlook the zoom slider only changes the content in the Reading Pane, not the message list or the folder pane (Microsoft Support).
| What looks too big | Likely cause | Where to fix it |
|---|---|---|
| Only the email body you are reading | Reading Pane zoom | Ctrl + minus, zoom slider, or ribbon Zoom |
| Subject lines and sender names in the list | Message list text size | View settings (see below) |
| Everything: ribbon, icons, folders, list | Windows display scaling | Windows Settings > System > Display |
| Text in an email you are writing | Compose zoom | Zoom while composing |
Not sure which Outlook you have? New Outlook for Windows has a “New Outlook” toggle near the top of the window and looks much like Outlook on the web. Classic Outlook has the traditional File / Home / Send / Receive ribbon.
How to zoom out in classic Outlook for Windows
Classic Outlook (Microsoft 365, Outlook 2016, 2019, 2021 and 2024) gives you three ways to zoom out the Reading Pane, according to Microsoft Support.
Use the keyboard or mouse wheel
- Click or point at the message in the Reading Pane.
- Hold Ctrl and press minus (-) to zoom out, or plus (+) to zoom in.
- Alternatively, hold Ctrl and roll the mouse wheel backwards to zoom out.
The Ctrl + mouse wheel shortcut is also the most common reason Outlook “suddenly” zooms in: scrolling while Ctrl is held down, even briefly, changes the zoom.
Use the zoom slider
- Look at the bottom-right corner of the Outlook window, on the status bar.
- Drag the zoom slider to the left, or click the minus button next to it.
- To jump straight to a specific level, click the percentage number beside the slider and choose 100%.
Make the zoom level stick
By default, a slider change applies to the message you are viewing. If you want every received message to open at the same zoom level, Microsoft’s Zoom and stick article describes a persistent setting:
- Click the percentage next to the zoom slider at the bottom right.
- Pick a preset (such as 100%) or type your own value.
- Tick Remember my preference and select OK.
Microsoft says this persistent option needs Outlook version 1901 or later (Microsoft Support). If you don’t see the checkbox, your Outlook build is likely older, and updating Office is the official fix.
How to zoom out in new Outlook for Windows
New Outlook handles zoom from the ribbon (Microsoft Support):
- Open or select the message that looks too big.
- On the ribbon, select Zoom (on the View tab in some layouts).
- Use the minus (-) sign to zoom out, or select Reset to return to 100%.
Microsoft lists the available range as 50% to 200%. If Zoom is greyed out, select a message first, because the control only works when an email is open in the Reading Pane (Microsoft Support).
The keyboard shortcuts work here too: point at the message and use Ctrl + minus or Ctrl + mouse wheel. The third-party guide from Ablebits adds that Ctrl + 0 resets to 100% in new Outlook.
A note on conflicting information: Microsoft’s own pages don’t fully agree on whether new Outlook remembers your zoom. One article says the level you pick stays in place until you change it; another says the zoom applies only to the current email and resets when you select another message. Behavior may also change as new Outlook gets updates, so as of October 2026, test it yourself: zoom out, click a different email, and see whether the level holds.
How to zoom out in Outlook on the web
Outlook on the web runs in your browser, so there are two layers of zoom:
- Outlook’s own zoom. Ablebits reports that Ctrl + minus works in the message window, Reading Pane and message list in Outlook on the web, and that Ctrl + 0 resets to the default (Ablebits).
- Browser zoom. Browser zoom scales the whole page, including the folder pane and toolbar. If everything in the tab looks oversized, reset the browser’s zoom for that tab using its zoom controls (in Edge and Chrome, Ctrl + 0 resets page zoom).
I couldn’t find a dedicated Microsoft support page for zooming in Outlook on the web, so the details above come from third-party testing. Treat them as a starting point rather than official guidance.
How to zoom out in Outlook for Mac
According to Change font sizes in Outlook for Mac, the Mac app works differently from Windows:
- For a message opened in its own window, press Command + minus (-) to make the text smaller, or Command + plus (+) to make it larger.
- For a whole folder, select a message in the folder, then use the Format menu’s Decrease Font Size option. Microsoft notes this applies to all mail in that folder and reverts to the default when you leave the folder.
- For a lasting change in new Outlook for Mac, go to Outlook > Settings > Fonts and move the text size slider.
- While writing an email, place the cursor in the message body and use Format > Zoom, then pick a percentage. The default size comes back after you send.
Menu names differ between older and newer Mac layouts, so if a path doesn’t match exactly, look for the same option under a nearby menu.
When the message list is the problem, not the email
If the email body looks fine but the list of messages (sender, subject, preview) is huge, zoom won’t help. Microsoft documents separate settings for this (Microsoft Support):
- New Outlook: go to View > View settings > Mail > Layout and choose a smaller text size.
- Classic Outlook: go to View > View Settings > Other Settings, then adjust Column Font and Row Font.
When the whole Outlook window is oversized
If the ribbon, icons, folder pane and list are all too big, the cause is usually Windows display scaling rather than anything inside Outlook. Windows scaling (Settings > System > Display > Scale) enlarges text, images and apps on that monitor, including Outlook.
Users in a Microsoft Q&A thread about an unusually large Outlook window report fixing it by returning scaling to its recommended value, then signing out of Windows and back in. One user said they had to set a custom value, sign out, set it back, and sign out again before it took effect. These are community answers rather than official steps, but changing Windows scaling and signing out is a safe, built-in process to try.
Quick reference
| Outlook version | Zoom out | Reset |
|---|---|---|
| Classic Outlook (Windows) | Ctrl + minus, Ctrl + wheel back, or the zoom slider | Click the percentage, choose 100% |
| New Outlook (Windows) | Ribbon Zoom > minus, Ctrl + minus | Zoom > Reset (Ablebits: Ctrl + 0) |
| Outlook on the web | Ctrl + minus, or browser zoom | Ctrl + 0 |
| Outlook for Mac | Command + minus (message window) | Settings > Fonts slider (new Outlook for Mac) |
Outlook changes frequently, especially new Outlook, so menu names and behavior may shift after October 2026. If a menu path above doesn’t match what you see, Microsoft’s Zoom in or out in Outlook page is the best place to check for the current steps.

Frequently asked questions
Why did Outlook suddenly zoom in by itself? +
The most common cause is an accidental Ctrl + mouse wheel scroll over the Reading Pane, which Microsoft documents as a zoom shortcut. A trackpad pinch or a bumped Ctrl key while scrolling can do the same thing. Point at the message and hold Ctrl while scrolling the wheel backwards to undo it.
How do I reset Outlook zoom back to 100%? +
In new Outlook, select Zoom on the ribbon and choose Reset to return to 100%. In classic Outlook, click the percentage next to the zoom slider in the bottom-right corner and choose 100%. Ablebits also reports that Ctrl + 0 resets zoom in new Outlook and Outlook on the web.
Why does zooming out not shrink the folder pane or ribbon? +
Outlook's zoom only affects the message content in the Reading Pane, not the message list, folder pane or ribbon. If the whole Outlook window looks oversized, check Windows display scaling instead, or the message list font settings for the list itself.
Can I make a zoom level permanent in classic Outlook? +
Yes. Click the zoom percentage in the bottom-right corner, pick or enter a level, and tick Remember my preference. Microsoft says this requires Outlook version 1901 or later.
