Outlook UIdaho: How to Sign In to VandalMail and Set It Up
How University of Idaho email works in Outlook: address formats, Duo sign-in, desktop and phone setup, password resets, and what happens to VandalMail after you leave.
“Outlook UIdaho” is the University of Idaho’s email, called VandalMail, which runs on Microsoft’s Outlook/Office 365 platform. You sign in with your full university email address (students use NetID@vandals.uidaho.edu) and your NetID password, then approve a Duo prompt, whether you use Outlook on the web, the desktop app or the phone app.
Below is what you need to know to get in, set up each device, fix the usual sign-in problems, and keep your mail when you leave. Details come from the university’s IT support knowledge base and are current as of October 2026; the university can change its procedures, so check support.uidaho.edu if something looks different.
What VandalMail is and who uses it
According to the university’s Engineering Outreach account page, VandalMail is U of I’s email system with an interface hosted by Microsoft’s Outlook 365, and students are required to use it. Official correspondence from instructors and university offices may be sent only to your VandalMail account, so forwarding or ignoring it is risky.
The university’s macOS guide notes that U of I runs on the Office 365 Exchange platform and that IT recommends Microsoft Outlook as the desktop client.
Address formats
| Account type | Address format | Example from U of I pages |
|---|---|---|
| Student | NetID@vandals.uidaho.edu | Last1234@vandals.uidaho.edu |
| Faculty/staff | name@uidaho.edu | jvandal@uidaho.edu |
| Alumni (after migration) | …@alumni.uidaho.edu | Created when you migrate |
The student format is stated directly on the College of Law VandalMail page. The employee format comes from examples in the university’s setup guides rather than a formal policy statement, so treat it as typical rather than guaranteed.
How to sign in to Outlook with a UIdaho account
The sign-in flow is the same everywhere because Outlook detects your account as an Office 365 Exchange account and hands you off to the university’s login page.
- Open Outlook (web, desktop or mobile) and choose to add or sign in to an account.
- Type your full University of Idaho email address and select Continue. Just the NetID on its own won’t route you correctly.
- You should be redirected to the U of I login page. Enter your NetID password.
- Complete Duo: approve a push, answer a verification call, or enter a passcode.
- Once Duo approves, Outlook finishes adding the mailbox.
For browser access, the university’s student guidance says you can open VandalMail on the web with your VandalMail address and NetID password. The sources I checked didn’t publish one specific web address, so the safest route is the email link from uidaho.edu or the IT support site rather than a link from a search ad.
Setting up Outlook on each device
Windows and macOS desktop
The macOS setup article uses the flow above: open Outlook, enter your full address (its example is vand1234@vandals.uidaho.edu), let Outlook detect the Office 365 Exchange account, then sign in on the U of I page with your password and Duo. The same steps apply in Outlook for Windows.
iPhone and iPad
The university has separate articles for the Outlook app on iOS and for Apple’s built-in Mail app. Both follow the same pattern: enter your full university email, sign in on the U of I page, then choose a Duo push, call or passcode. If you want one app for mail and calendar with the fewest surprises, the Outlook app is the option IT documents for Exchange.
Android
Android has one extra step that trips people up. The university’s Android Email Clients and MFA article says:
- Install Intune Company Portal from Google Play. You don’t need to open it; it only has to be on the device for Outlook to work properly.
- Install Microsoft Outlook from Google Play.
- Open Outlook and tap Get Started.
- Enter your full U of I email address and continue.
- Enter your NetID password, tap Sign In, and complete Duo.
The same article states that Outlook for Mobile is the supported Android client, and that Gmail, Yahoo and the default Android mail app are not supported with MFA. If your phone’s built-in mail app keeps failing, that’s why. Microsoft’s own Outlook for Android guide also warns that school accounts may have extra requirements set by the IT admin, and the Company Portal step is one of them.
Passwords, Duo and the Account Management portal
Most “I can’t get into Outlook” problems are really account problems, and U of I handles those in one place. The Account Management Card article describes the portal at help.uidaho.edu, where you can sign in with your NetID, email or Vandal ID to:
- change your password,
- update your security questions,
- check your MFA settings and add or update Duo devices.
Forgot your password?
Self-service reset works only if you’ve already set up a Security Profile (three security questions plus one personal email address). With that in place, you can reset your password from the portal and get a verification code by email or phone. If you never set one up, you’ll need to contact IT. Setting it up now, while you can still sign in, saves a phone call later.
New phone or lost Duo device
Update your Duo devices in the same portal before you swap phones if you can. If you’ve already lost access to your old device, contact the help desk.
Getting help
University pages list the OIT Help Desk at 208-885-HELP (4357) and support@uidaho.edu, plus the online portal at support.uidaho.edu. An older VandalMail flyer lists a different number (208-885-2725 and helpdesk@uidaho.edu); the 4357 line appears on the more recent pages, so start there. IT staff will never need your password to help you, and you shouldn’t share it with anyone who asks.
Quick troubleshooting checklist
- Outlook says it can’t find the account: make sure you typed the full address, including
vandals.for student accounts. - Password rejected: try signing in at help.uidaho.edu. If that fails too, reset it there or call the help desk.
- No Duo push arrives: choose the call or passcode option instead, and check that your Duo device is current in Account Management.
- Android mail app won’t connect: switch to Outlook for Android and install Intune Company Portal first.
- Mail disappeared after graduating: your student account may have expired; see the next section.
What happens to your Outlook email when you leave
The university’s alumni migration article says student accounts expire one year after you leave. Its departing-student guide is vaguer, saying only that access expires shortly after graduation, so don’t wait until the last minute.
You can keep an address by migrating to an @alumni.uidaho.edu account:
- Make sure your Security Profile is set up; migration requires it.
- Back up your @vandals OneDrive files and anything you need from MyUI or Canvas. After migration you lose access to those services, and the OneDrive data is deleted.
- Sign in at help.uidaho.edu and choose the Alumni/Retirees option.
- Allow 15 to 60 minutes for the process. Mail copying starts after a few minutes but can take up to 24 hours.
Your old address stays as an alias, so messages sent to it land in the new alumni mailbox. That makes migration the cleanest way to keep receiving mail from contacts who only know your student address.
Bottom line
For U of I email, use Microsoft Outlook on whatever device you have, always sign in with your full university address, and keep your Security Profile and Duo devices current at help.uidaho.edu. That covers almost every sign-in problem people search for. If you’re graduating, plan your alumni migration and OneDrive backup well before the account expires.

Frequently asked questions
What is my University of Idaho email address? +
Students use NetID@vandals.uidaho.edu, for example Last1234@vandals.uidaho.edu. University support articles show employee addresses in the form name@uidaho.edu. Always type the full address when signing in to Outlook.
Why does Outlook keep asking for Duo? +
University of Idaho email uses Duo multi-factor authentication, so after your password you approve a push, answer a call or enter a passcode. If you changed phones, update your Duo devices in the Account Management portal at help.uidaho.edu, or call the help desk if you can't get in.
Can I use Gmail or the built-in Android mail app for VandalMail? +
The university's Android MFA article says Microsoft Outlook for Mobile is the supported client, and that Gmail, Yahoo and the default Android mail app are not supported with MFA. Use the Outlook app instead.
Do I lose my VandalMail when I graduate? +
U of I says student accounts expire one year after you leave, but you can migrate to an @alumni.uidaho.edu account. Your old address becomes an alias and your mail is copied over, though you lose access to MyUI, Canvas and your @vandals OneDrive.
