Outlook NAU: How to Sign In to Your NAU Email and Calendar
Who at Northern Arizona University uses Outlook vs Gmail, how to sign in to NAU Outlook on the web, Two-Step Verification, and where to get help.
“Outlook NAU” refers to Northern Arizona University’s Microsoft Outlook (Exchange Online) email and calendar, which NAU employees use. You open it from the Launch Outlook Web link on NAU’s ITS email page or at Microsoft’s standard address, outlook.office365.com, and sign in with your NAU account and Two-Step Verification. Most students use Gmail instead, which explains a lot of the confusion behind this search.
This guide covers who uses which system, how to sign in, how Two-Step Verification fits in, and what to do when sign-in fails. Everything here is based on NAU ITS pages and Microsoft’s documentation as of November 2026. University IT setups change, so if anything here differs from what you see, go with the ITS site.
Who uses Outlook at NAU (and who doesn’t)
NAU uses two email platforms. Which one you get depends on your role:
| Role | Default email platform | Notes |
|---|---|---|
| Faculty and staff | Microsoft Exchange (Outlook) | Every employee gets an Outlook account when hired, according to NAU ITS. |
| Students | Google (Gmail) | ITS says Gmail is the official email system for NAU students. |
| Student employees | Gmail, plus Outlook if requested | A supervisor can request a Full Exchange Student Account, which is created alongside the student’s Gmail. |
ITS also says faculty and staff can request a Google account, so some employees have both.
If you’re a student and searched “Outlook NAU” because a professor or office mentioned your NAU email, you most likely need Gmail, not Outlook. Student employees who need a university mailbox for their job should ask their supervisor about a Full Exchange account rather than trying to sign in to Outlook with a student login.
Background: the move to Exchange Online
NAU upgraded campus email to Microsoft Exchange Online, Microsoft’s cloud-hosted mail service, during the Spring and Summer 2023 semesters. Before that, NAU ran its own Exchange servers. You may still see older bookmarks or help pages for an “OWA 2016” (Outlook Web App) setup from that time.
NAU’s Exchange Online communication from 2023 said that after the migration, web access would be at outlook.office365.com. If an old bookmark sends you to a dead page or a confusing redirect, that change is the likely reason.
How to sign in to NAU Outlook on the web
These steps combine NAU’s guidance with Microsoft’s instructions for signing in to Outlook on the web:
- Enroll in Two-Step Verification first if you haven’t already. NAU requires enrollment before you can use NAU email online, and you enroll through id.nau.edu (see the next section).
- Open Outlook on the web. Use the Launch Outlook Web link on the ITS Email and Calendar page, or go to outlook.office365.com. You can also sign in at Microsoft365.com and pick Outlook from the app launcher.
- Enter your NAU email address when Microsoft asks for your work or school account. You may then be sent to an NAU sign-in page to finish.
- Enter your password and complete Two-Step Verification when prompted.
- Decide about “Keep me signed in.” On a shared or public computer, leave it unchecked. Microsoft says you can stop automatic sign-in by clearing that box the next time you sign in.
Only enter your password on the official NAU or Microsoft sign-in pages. Third-party “NAU email login” sites that turn up in search results are not run by NAU and aren’t worth trusting with your credentials.
Using the Outlook app instead of the browser
Exchange Online works with Microsoft’s Outlook apps on desktop and mobile. You add your NAU address as a work or school account and complete the same sign-in and verification steps. NAU’s public pages that I found didn’t include step-by-step app setup for the current environment, so if your app won’t connect, ask ITS before trying manual server settings.
Two-Step Verification at NAU
NAU describes Two-Step Verification as an extra layer of security that protects your NAU account from unauthorized access. It’s NAU’s name for multi-factor authentication. After your password, you confirm the sign-in with a second factor such as your phone or a fob.
A few points from NAU’s pages are useful to know before you need them:
- Lost or forgotten device: The ITS Service Desk can give you a bypass code that’s valid for 24 hours.
- Backup codes: NAU offers backup codes for when your phone or fob is lost. Set them up while you can still sign in, and store them somewhere safe.
- Recent changes: ITS posted a notice dated April 28, 2026 saying NAU is rolling out changes to the Two-Step Verification process. The search summaries I found didn’t say what changed, so check the ITS Two-Step Verification page for the current steps rather than relying on older screenshots.
Common sign-in problems and fixes
“You can’t sign in here with a personal account”
Your NAU mailbox is a work or school account, not a personal Microsoft account (Outlook.com or Hotmail). Microsoft treats these as separate systems that don’t sync with each other. If you’re asked which kind of account to use, pick the work or school option for NAU email.
You end up in the wrong account
If you also have a personal Outlook.com account or another organization’s Microsoft 365 account, the browser may sign you in to the wrong one. Microsoft suggests checking which account is active in Outlook’s account manager and then signing out or switching. A private or incognito browser window also gets around cached sign-ins.
Your old bookmark doesn’t work
Bookmarks from before the 2023 migration may point to the old Outlook Web App. Replace them with the ITS page link or outlook.office365.com.
Password problems
Microsoft notes that if you don’t have permission to change your password yourself, your organization’s administrator has to help. At NAU, contact ITS.
You’re a student and can’t find your Outlook mailbox
Most students don’t have one, because student email is Gmail. If you need Outlook for a campus job, your supervisor has to request a Full Exchange Student Account through ITS.
Getting help from NAU ITS
The ITS Service Desk handles email access, password and Two-Step Verification problems:
- Phone: (928) 523-3335
- Email: ask-its@nau.edu
Have your NAU username ready and describe the error message you see. Never share your password or verification codes with anyone, including people claiming to be IT staff over email.
Bottom line
At NAU, Outlook is the employee email and calendar platform, running on Microsoft Exchange Online since 2023. Sign in through the ITS Launch Outlook Web link or outlook.office365.com, finish Two-Step Verification, and call ITS if you get stuck. If you’re a student, you’re most likely looking for Gmail. Because NAU changed its Two-Step Verification process in 2026, check the ITS pages for the latest details.

Frequently asked questions
Do NAU students use Outlook for email? +
Usually not. NAU ITS says students get Google accounts, and Gmail is the official email system for students. A student who works for the university can get a Full Exchange (Outlook) account if their supervisor requests one, and that account sits alongside their Gmail.
What is the web address for NAU Outlook? +
NAU's ITS email page has a Launch Outlook Web link. NAU's 2023 Exchange Online notice said web access moved to outlook.office365.com, which matches the standard Microsoft 365 address Microsoft gives for work and school accounts. Use the ITS page if the address has changed since then.
Why does NAU Outlook ask for a second verification step? +
To use NAU email online you have to be enrolled in NAU's Two-Step Verification, and you enroll through id.nau.edu. NAU announced changes to the Two-Step Verification process in spring 2026, so the prompts you see now may not match older screenshots or guides.
Who do I contact if I can't get into my NAU Outlook account? +
Contact the NAU ITS Service Desk at (928) 523-3335 or ask-its@nau.edu. They can help with sign-in, password and Two-Step Verification problems, and they can give you a temporary bypass code if you've lost your verification device.
