Excel Not Responding or Not Calculating? How to Fix It Fast
Excel not responding, not calculating formulas, or showing formulas as text? Learn the official fixes in order, plus how Excel's NOT function actually works.
If Excel is not responding, start it in safe mode (press Windows + R, type excel.exe /safe, press Enter); if the problem disappears, an add-in is the likely cause. If Excel is not calculating formulas, go to Formulas > Calculation Options and make sure Automatic is selected, then press F9.
“Excel not” is a broad search, so this guide covers the four problems people most often mean: Excel freezing or hanging, formulas not updating, formulas showing as text, and the NOT function itself. Steps are based on Microsoft’s own support documentation as of October 2026; menu labels can shift between Excel builds, so yours may look slightly different.
Quick diagnosis: which “Excel not” problem do you have?
| Symptom | Most likely cause | First thing to try |
|---|---|---|
| “Not responding,” freezes, crashes on launch | Add-in conflict, damaged workbook, outdated Office | Start in safe mode (excel.exe /safe) |
| Formulas don’t update when you change values | Calculation set to Manual | Formulas > Calculation Options > Automatic |
Cell shows =SUM(A1:A5) instead of a number | Show Formulas is on, or the cell is formatted as Text | Press Ctrl + `, then check cell format |
| Files won’t open in Excel for the web or Teams | Possible Microsoft 365 service issue | Check Microsoft 365 service health |
| You want “not equal” logic in a formula | NOT function or <> operator | =NOT(A1=B1) or =A1<>B1 |
Excel not responding, freezing or crashing
Microsoft’s article Excel not responding, hangs, freezes or stops working covers hangs on launch, hangs when opening a workbook and general “not responding” errors. It says to work through the fixes in order, because the early ones are quick and catch the most common causes.
Step 1: Start Excel in safe mode
Safe mode starts Excel without add-ins, most COM add-ins and files from Excel’s startup folders. That makes it the fastest way to tell whether something you’ve installed is the problem.
- Close Excel completely.
- Press Windows + R to open the Run box.
- Type
excel.exe /safeand press Enter. - Open the workbook that was causing trouble and see if the problem returns.
If Excel behaves normally in safe mode, move on to Step 2. If it still hangs, skip ahead to Step 3.
Microsoft also offers an automated Excel troubleshooter that does this isolation for you. Be aware that, according to Microsoft, it will in most cases modify the registry and move files out of Excel’s startup folders, so back those up first. It requires Windows 10 or later.
Step 2: Find the add-in that’s causing it
- Start Excel normally.
- Go to File > Options > Add-ins.
- At the bottom, choose COM Add-ins in the Manage box and click Go.
- Clear all the check boxes, click OK, and restart Excel.
- If the problem is gone, turn the add-ins back on one at a time, restarting Excel each time, until the problem comes back. The last one you enabled is the culprit.
Add-ins installed by antivirus software are worth checking early; third-party guides frequently name them as a source of conflicts.
Step 3: Update, then rule out other software
Microsoft’s guidance moves on to installing the latest Office updates if safe mode and add-ins don’t explain the problem. An archived Microsoft Excel Support Team post lists the wider checklist Microsoft uses, which still holds up:
- Install the latest updates.
- Check whether antivirus software is conflicting with Excel.
- Check whether another process is using Excel.
- Consider whether the file came from a third-party program that may have generated it incorrectly.
- Try a new Windows user profile.
- Do a selective (clean) startup of Windows to rule out conflicting services.
- Repair or reinstall Office.
Step 4: Suspect the workbook itself
If only one file freezes, the file is the likely problem rather than Excel. Heavy conditional formatting is a common cause of slowdowns. Save a copy of the workbook before you clear conditional formatting rules, then test the copy.
Step 5: Repair Office
If nothing above helps, Microsoft’s checklist ends with repairing Office, and reinstalling it if a repair doesn’t fix the hang. Try the repair first, since it keeps your settings and files in place.
Excel not calculating formulas
When you change a number and the totals don’t move, the calculation mode is almost always the reason. Microsoft’s recalculation article explains that by default Excel recalculates automatically, but in Manual mode formulas only update when you tell Excel to recalculate.
Fix it
- Go to the Formulas tab.
- Click Calculation Options.
- Select Automatic. The current mode shows a check mark.
You can also set this under File > Options > Formulas, in the Workbook Calculation section.
Microsoft’s documentation has used two labels for the in-between option over time (“Partial” in older versions, “Automatic except for data tables” in newer ones). Both recalculate everything except data tables.
Force a recalculation
These shortcuts are widely documented, including by ExcelDemy:
| Shortcut | What it recalculates |
|---|---|
| F9 | The workbook |
| Shift + F9 | The active worksheet only |
| Ctrl + Alt + F9 | Every formula, whether or not it changed (Windows) |
If you deliberately use Manual mode for a huge workbook, note that Excel turns on Recalculate workbook before saving in that mode. Microsoft says clearing it can speed up saving large files, but you then have to remember to press F9.
Watch for circular references
A formula that refers back to its own cell (directly or via other cells) can’t be evaluated unless iterative calculation is turned on. Excel flags this in the status bar. Fix the reference rather than enabling iteration, unless you genuinely need an iterative model.
Excel showing the formula, not the result
Two things cause this, and both are quick to check:
- Show Formulas is on. This mode displays every formula on the sheet instead of its result. Toggle it with Ctrl + ` (the grave accent key, usually left of 1) or the Show Formulas button on the Formulas tab.
- The cell is formatted as Text. Excel treats anything typed into a Text cell as text, formulas included. Select the cell, right-click, choose Format Cells, pick General (or a number format), then click into the formula bar and press Enter to re-enter it. Changing the format alone doesn’t trigger recalculation, as users in the Microsoft Tech Community note.
Also look for a leading apostrophe or space before the = sign; either one turns the formula into plain text.
The Excel NOT function
Some people searching “excel not” want the function. Per Microsoft’s NOT function reference, the syntax is:
=NOT(logical)
where logical is any value or expression that evaluates to TRUE or FALSE. NOT flips it: FALSE becomes TRUE and TRUE becomes FALSE.
It’s most useful inside other logical functions. Microsoft’s own example pays a bonus only when neither sales goal is missed:
=IF(AND(NOT(B14<$B$7),NOT(C14<$B$5)),B14*$B$8,0)
For a simple “not equal” check you don’t need NOT at all; =A1<>B1 returns TRUE when the values differ and is easier to read.
When it isn’t your computer
If Excel for the web won’t open files, or files in Teams and OneDrive fail while desktop Excel is fine, the problem may be on Microsoft’s side. Microsoft 365 has had incidents like this before, including one in 2026 where users couldn’t open files in Office for the web. As of October 28, 2026, we didn’t find a confirmed Excel outage in reliable reporting, but check Microsoft 365 service health (or ask your IT admin, who can see incidents in the admin center) before you spend time reinstalling anything.

Frequently asked questions
Why does Excel show the formula instead of the result? +
Usually either Show Formulas is turned on (toggle it with Ctrl + ` or the Show Formulas button on the Formulas tab) or the cell is formatted as Text. Change the format to General, then re-enter the formula by clicking into the cell and pressing Enter.
Is Excel down right now? +
As of October 28, 2026, we found no confirmed Microsoft report of an Excel outage this week. If only Excel for the web or files in OneDrive and Teams fail to open, check Microsoft 365 service health (your admin center, if you are on a work account) before troubleshooting your own PC.
Will starting Excel in safe mode delete my add-ins or files? +
No. Safe mode just starts Excel without add-ins and startup-folder files for that session. Microsoft's automated Excel troubleshooter is different: it can change the registry and move startup files, so Microsoft recommends backing those up first.
What does the NOT function do in Excel? +
NOT reverses a logical value: NOT(TRUE) returns FALSE and NOT(FALSE) returns TRUE. It is mostly used inside IF, AND or OR to test that a condition is not met.
